Human Resources (HR)/Safety Assistant

Function:
The HR Assistant reports to the HR Director.  This position is responsible for administrative and confidential assignments related to the day-to-day operations of the human resources functions and duties.  The HR Assistant carries out duties in some or all of the following areas: HRIS, recruitment and onboarding, benefits, training, employment and employee relations. 
 
Responsibilities:
 
Human Resources

• Maintain the HR database by processing data for new hires, terminations, promotions, wage changes, benefits, leaves of absences, and other personnel-related data changes
• Perform electronic personnel filing including create new hire files, archiving non-active employee, and maintaining separate files for medical and I-9 information
• Complete required federal and state reporting
• Collect, analyze, and present recruitment, selection and placement data including, but not limited to, number of applicants, number of interviews, selection rates, and various other HR metrics
• Administer  various aspects of benefits including coordinating open enrollment meetings, processing open enrollment paperwork, processing new hire/change/termination of benefits paperwork, tracking 90 day benefit eligibility, administration of COBRA, and answering general benefit questions for employees/potential employees; Monitor and assist with changes related to the Affordable Care Act
• Provide assistance in hiring activities such as posting jobs, setting up interviews, conducting reference checks, preparing offer letters, coordinating new hire screenings, preparing new hire binders, and sending rejection letters to unsuccessful candidates as needed
• Administer new hire onboarding program by reviewing new hire packets, company policies, benefits, and ensuring all necessary paperwork is completed

• Perform administrative duties related to various leaves such as FMLA, disability, military, funeral, jury duty and special leaves of absences including processing appropriate paperwork

• Schedule trainings and assist in training research
• Provide triage capabilities for first-line calls regarding personnel matters and HR policies as well as employment verifications
• Order business cards, nametags, and employee gifts
• Plan and execute company events, including Christmas Party, annual golf outing, and other special events
• Complete special projects as needed

• Assist in maintaining the Employee Handbook
• Maintain and keep current employee rights posters in all office locations
• Assist with employee newsletter

 
Qualifications:
 
Basic

• High school diploma or equivalent with three to four years of post high school education or equivalent experience in a related field
• Ability to maintain confidentiality

 
Preferred

• Bachelor’s degree in Human Resources, Industrial Relations, Business or related field
• 2-3 years of experience in a HR
• Strong time management, organizational skills, and strong attention to detail
• Ability to anticipate needs, be resourceful and use sound judgment and tact – especially when handling confidential matters
• Effective verbal, written, and interpersonal communication skills with a service oriented focus
